The member who stops coming never tells you
Memberships, door control, classes with capacity and a cash drawer, in one system. Plus a list, every morning, of the members who are paying and have already stopped coming.
The floor, the moment you open it
How many people are inside right now, how many came in today, whose membership expires this week and who has not shown up in days. All on the first screen, with nothing to look up.
😩 Do you find out a member left the day they fail to renew?
😎 You know who is inside, who stopped coming and who cannot get in
The door decides on its own with the gym’s own rule, classes fill up with a waiting list, the drawer is counted blind, and every morning you get the list of who to call before they cancel.
A day at the gym, screen by screen
The door
Who gets in, and why not
The front desk types a name or scans a code and the system answers one thing: in or out, and the reason in words you can read out loud at the door.
- Checks membership, payments, plan hours and medical clearance
- A membership that expired yesterday still gets in if the gym allows grace days
- Every refusal is counted, with its reason
Members check themselves in
The same decision, on a tablet at the entrance. The member enters their code and the screen answers with their name, their plan and how long it is paid for.
- One rule for the desk and the kiosk: not two copies
- The screen resets itself for the next person
- How they came in is recorded
Who's inside
The list of everyone who came in and has not left. It covers capacity, an evacuation, and knowing whether the six o’clock class regular has arrived.
- Updated with every entry and every exit
- With the time each one came in
- Checking someone out is one click from the same list
Every member
Everything about a member on one page
Their membership and how far it runs, the credits left in the period, their last visits and whether they owe anything. With call and message buttons right there.
- Visit history, with how they came in
- Account status: what was paid and what went overdue
- Notes the staff should know, with who wrote them
Who to call today
Members who are paying and not showing up, sorted by urgency and with the reason spelled out. An active member two weeks absent has usually already decided to leave: this list is for calling, not for looking at.
- The reason for each one: never came in, twenty days absent, payment overdue
- Visits in the last thirty days, so you do not call someone who is coming
- Call and message from the same row
Plans and classes
The gym’s plans, the way they really are
The cheaper morning plan, three times a week, the day pass and the annual one. Each with its hours, its visit cap and the days it can be frozen.
- Time window per plan: it is what makes the morning plan sellable
- Visit cap per period, or unlimited
- Freeze days allowed, per plan
The day’s schedule
Today's classes with their capacity in plain sight: how many spots are taken, how many are left and which one is already full.
- Capacity is visible before you open the class
- Who teaches it and in which room
- Move day by day without leaving the screen
Full does not mean no
When a class fills up, the next one in goes on the waiting list with their number. If someone cancels, they move up on their own: nobody has to remember to call them.
- Waiting list in the order people arrived
- They move up on their own when someone cancels
- Attendance is marked, no-shows too
The money
The shift closes blind
At closing, the system does not say how much should be there: you count the drawer first and the difference comes after. It is the only way the count means anything.
- Shift takings split by cash, card and Yappy
- Whoever closes writes what they counted, not what they expected
- If it is short or over, they have to say why
The period, in numbers
What was actually collected in the range you pick, how many members came, how many visits each one made and which plans sold.
- Income by payment method
- Memberships sold, new and renewed
- Visits per member: the signal that shows up before a renewal falls through
In hand
The same system, on the phone
The front desk checks people in from a phone when there is a line, and the owner sees the floor from wherever they are. Not another app: the same one, fitted to the screen.
- Installs from the browser, no app store
- Same permissions: everyone sees their own
- Built to be used with one hand
What it solves, plainly
Everything above works today. What does not, we do not promise.
